Confirm the final draft, documents, payments and attendance arrangements before the appointment. Make sure everyone is working from the same version and knows what they need to bring.
Give yourself one final read-through
Set aside time to read the deed without switching between messages and calls. Check names, property details, payment entries and attachments. Confirm who is attending and whether any representative needs authority documents reviewed. Keep the appointment details, payment instructions and contact person together. If something has changed since the last draft, ask for that change to be explained.
Use the evening before for a final check
Set aside the exact draft everyone has approved, the appointment details, the list of people attending and the payment references. Check that each person knows what to bring. If there is a fresh change to a name, amount or property description, send it for review rather than assuming it can be corrected at the counter.
Keep a contact number for the person coordinating the appointment. Ask what will happen if a party is late, a document is missing or the office raises a query. An appointment time is a plan, not a guarantee that every step will finish that day.
Before the appointment
- Check names and property descriptions against the supporting records.
- Confirm who is expected to attend and in what capacity.
- Keep current official payment and application acknowledgements.
- Agree who will retain originals and collect the completed record.
The next step
Make a short checklist for the day and resolve unanswered items beforehand. If the draft is still changing, say so before assuming you are ready to sign.
Can I rely on a checklist from an old transaction?
Use it as a starting point only. Requirements and the facts of the present transaction should be checked afresh.
