Property documents / GUIDE

Help the reviewer read every page the first time.

A clear scan saves avoidable back-and-forth when your property review is waiting on documents.

Scan the complete document in order, with readable text and all edges visible. Include schedules, attachments and registration pages, not just the main deed text.

Open the file before sending it

A phone scan can work well if the pages are flat, evenly lit and in focus. Zoom in to check small numbers and names. Keep the original wording visible; avoid filters that erase stamps or faint writing. If a page is missing or too faded to read, label that clearly instead of presenting the file as complete. Keep your original files unchanged.

Check the corners and the back of the page

A photograph can look sharp on a phone while cutting off a number at the edge. Open the scan at a readable size and check stamps, handwritten entries and the reverse of pages with endorsements. Keep pages in their original order. Where a document is bound, take care not to lose text near the binding or damage the original while scanning.

Details to check

  • Capture the full page without fingers or shadows over text.
  • Keep page orientation and sequence consistent.
  • Check the first, middle and final pages after export.
  • Use a descriptive filename without sensitive identifiers in public URLs.

The next step

Send a short list of any missing or unreadable pages with the scan. Ask whether the reviewer needs a better copy or access to the original.

Can I crop out pages that look unimportant?

Do not select legal relevance yourself. Send the complete document or clearly disclose which pages are unavailable.
