Property documents / GUIDE

What details do you need to request an EC?

The search begins with identifying the property correctly. Your existing deed is a useful place to look.

Gather the property description, registration details and any earlier EC. Keep old and current identifiers together if names or numbers have changed.

Copy carefully, but do not guess

A familiar house number may not be the only reference used in the recorded document. Look for the survey, site, municipal or apartment details in the property schedule. If an older paper uses a different identifier, keep both rather than silently replacing one. These details help establish what needs to be searched and whether the result relates to the property you intended.

Send the source of the number

Instead of typing a survey or property number into a message from memory, identify the page of the deed or record where it appears. Include the village or locality and subdivision details shown there. A transposed digit can send the search in the wrong direction. Keep a copy of the submitted particulars so you can compare them with the result.

Details to check

  • Keep the full schedule, not just the deed’s first page.
  • Note survey, site, apartment and municipal identifiers as available.
  • Retain an earlier EC and its search particulars.
  • Flag renamed roads or changed property references without assuming equivalence.

The next step

Prepare a short note of the available identifiers and attach the pages they came from. Ask about any uncertainty before the search is submitted.

Can a postal address alone identify the correct search?

It may not be sufficient. The available property and registration records should be used to establish the appropriate identifiers.
