Ownership & transfers / GUIDE

Where are your original property documents?

If the papers are with a lender or another person, keep a record you can use when you need them back.

Make an inventory of the originals and note who holds each one. Keep acknowledgements for anything handed over and retain secure copies for reference.

Make “the bank has them” more specific

Which documents were deposited, on what date and under which loan or reference? Ask for a written list where available. If family members hold different papers, record that too with their agreement. Knowing the location helps when you plan a sale, loan closure or review. It also prevents a missing copy from being confused with a missing original.

Record the handover when originals move

List each document, its date or reference and the person receiving it. Agree why it is being handed over and how its return will be recorded. Keep a readable copy for reference, but clearly distinguish it from the original. Where a lender holds the papers, retain the available acknowledgement or document list with the rest of your property file.

Points to work through

  • List document type, date and registration reference where available.
  • Record whether you hold an original, certified copy or scan.
  • Retain acknowledgements from institutions holding documents.
  • Limit access to the inventory and digital copies.

The next step

Update the inventory when a document moves and check the returned set against it. Raise missing pages or records before considering the handover complete.

Should I publish the inventory in a shared family group?

Consider privacy and access carefully. Share only with the people who need it through an appropriate private channel.
