Property verification / GUIDE

Two documents say different things. Where do you start?

A mismatch in a name, area or property number deserves a clear explanation before it carries into your purchase.

Put the conflicting entries side by side and identify the source of each. Ask whether you need another record, an explanation or a correction before moving ahead.

Show the difference instead of guessing the answer

A quick explanation on a call may sound reasonable but be difficult to reconstruct later. Save the relevant pages and write a short note: this deed says one thing, this record says another. Tell the reviewer whether the seller has already offered an explanation. Some differences have supporting records; others need further work. Avoid choosing the version that simply looks more convenient.

Describe the mismatch without trying to fix it

For example, write “the deed shows site number 18, while this tax record shows 18A” and attach the relevant pages. Avoid editing the scan or crossing out a number to make the documents agree. Keep the seller’s explanation alongside the records. The reviewer can then distinguish an explanation supported by another document from one that still needs evidence.

Checks to keep with your file

  • Record the document date and source of each version.
  • Highlight the precise entry without editing the underlying scan.
  • Ask the seller for the supporting explanation in writing.
  • Note whether the same issue appears in a lender or municipal record.

The next step

Ask what would resolve the mismatch and whether it affects your next payment, draft or registration date. Keep that answer with the purchase file.

Should I ask the seller to edit the PDF?

No. Editing a scan does not correct the underlying instrument or official record and can make the evidence harder to assess.
