Ownership & transfers / GUIDE

Collecting the keys? Keep the handover details too.

The move is exciting. A few written notes help preserve what was handed over and what is still pending.

Keep the possession or handover record, keys and access details, meter readings, available warranties and a list of pending items. Check these against the arrangements in your agreement.

Write down what remains unfinished

Walk through the home and note anything still to be supplied or addressed. Keep that list separate from the legal-document review; they answer different questions. Record the date, the people involved and how each pending item will be followed up. Save relevant communications with the agreement and payment records so the context is easy to find later.

Write down what is still outstanding

At key handover, note the keys and access devices received, meter readings where relevant, documents provided and items left pending. Keep this separate from any inspection of the building’s condition. If a repair or missing record is promised later, record who will provide it. Photographs can help explain an issue, but retain the written handover communication as well.

Points to work through

  • Record keys, access cards and agreed items supplied.
  • Keep a list of documents and originals handed over.
  • Identify pending dues or records requiring clarification.
  • Agree a point of contact for remaining actions.

The next step

Ask for the pending items and next actions to be acknowledged. Keep a copy before the practical pressures of moving take over.

Can I include photographs of the condition?

They may help record practical condition if appropriately dated and agreed. Keep them securely with the handover file.
